What Are Gmail Filters?

Gmail Filters are a set of rules that allow you to automatically redirect emails as they enter your Gmail inbox.

With so many emails landing in your inbox every single day, you can see how this might save you a hefty chunk of time.

We all receive unwanted emails from sites or businesses that we don’t remember signing up to. Rather than block the sender, you can simply send them to the trash automatically.

Or maybe you’re subscribed to a bunch of marketing emails, but you like to read them on a particular day. Well, they can be automatically sent to a specific folder, and you can check them out at your leisure.

In addition, you can apply different colors to your filters so that you can quickly recognize certain types of email. You can also add importance markers and much more.

Gmail Filters are a very powerful way to free up time and become more productive.

So how do you go about creating them?

Create a Gmail Filter Using the Gmail Search Bar

Step 1. Head to the search bar at the top of the Gmail interface and type in an email address that you would like to create a filter for. Alternatively, you could search for a particular keyword to create a topic-specific folder.

Step 2. Click the little arrow on the right to refine your filter even more.

Step 3. In the new menu, you can refine by email address (to and from), subject, keyword, and much more.

Step 4. When you’ve refined your filter, click the Create Filter button at the bottom.

Step 5. This will take you to another menu as you can see in the image below (and we’ll touch on the different options later in this guide).

Step 6. To get started, select Categorize as, choose a category, and select Also apply filter to matching conversations. This will create a filter to categorize every single email into that filter, including past conversations.

Step 7. Click Create filter to confirm.

Create a Gmail Filter Using the Settings Menu

Step 1. Head over to Settings on the top right-hand side of the Gmail interface.

Step 2. On the Settings screen, click the Filters and blocked addresses tab.

Step 3. Here, you can see all the filters you have created. To create a new filter, click on Create a new filter below your current filters.

Step 4. This will then open up the menu from Step 3 in the last section of this article.

Step 5. Repeat steps 3 to 6 from the last section.

What Actions Can Be Performed with Gmail Filters?

The following are the actions you can apply to filters, and they can also be combined to create even more specific criteria. Play around with the different options to see how you can make your email inbox work for you.

  • Never send it to Spam
  • Apply a label

Editing and Deleting Your Gmail Filters

Step 1. Head to the Settings menu.

Step 2. On the Settings screen, click the Filters and blocked addresses tab.

Step 3. You should now see your current filters, as well as Edit and Delete options to the right-hand side. Click Edit next to the filter you’d like to modify.

Step 4. The new menu will allow you to edit the current filter as you wish. Once you have edited the first section, click Continue.

Step 5. When you’re prompted with the next set of options, adjust them, and click Update filter.

Step 1. Head to the Settings menu.

Why Create Filters in Gmail

By default, all the incoming Emails in your Gmail Account are delivered to the Inbox. This arrangement leads to all types of Emails from multiple Contacts getting accumulated in the Inbox.

This default setup can become unmanageable and inefficient while dealing with a large number of Emails from multiple senders.

For example, to find a certain email from a certain sender, you will be required to go through hundreds or thousands of emails in the Inbox.

Hence, the need to Create Filters and direct Emails with different Filter Criteria to different Labels (or Folders as Google calls them) within your Gmail Account.

For example, you can create a Filter to direct all Emails from Skype, Netflix and other subscription services to a New Label called “Receipts” in your Gmail Account.

Gmail allows you either Create Filters and Labels at the same time or Create Labels first and then apply Filters to your pre-created Labels.

In this case, we are going with the option to Create a Filter and Label at the same time.

1. Click on the Gear icon located at the top right corner and then click on Settings .

2. On the Settings screen, click on Filters and Blocked Addresses link (See image below).

4. On the next screen, you can specify Filter Criteria like Sender Name, Sender Email, Subject, Has Attachment, Has Words and other Criteria.

After specifying Filter Criteria (From Sender in this case), click on Create Filter with this Search link.

5. On the next screen, select Apply the Label option. Next, click on Choose Label and select New Label option in the drop-down.

6. In the pop-up that appears, type a Name for your New Label and click on Create .

7. Once the new label is created, select Skip the Inbox and Apply filter to matching messages option and click on Create Filter button.

Skip the Inbox: Received Emails with matching Filter Criteria will skip the Inbox and land directly in the New Filter (Folder) that you have Created.

Also Apply Filters to matching Messages: Selecting this option moves existing messages with matching Filter Criteria from Inbox to the New Label or Folder that you just created.

8. Once you click on Create Filter button, Gmail will create a New Label with your specified Filter Criteria and place it in the sidebar menu under Categories tab.

Operators to create powerful Filters

Gmail’s search is far more than just a keyword-based search engine. With the use of Gmail search operators, which modify your search, you can create much more powerful and precise Gmail filters.

  1. “ ” (quotation marks)

This operator searches for the exact phrase in your emails.В

Example: “b2b copywriting“ looks for all the emails with that phrase, but no emails that contain just the word “b2b” or just the word “copywriting”.В

  1. – (minus operator)

The minus operator finds emails that specifically doesn’t have a particular word or phrase or email address.

Example: [email protected] excludes all the emails that come from the address [email protected]В

  1. + (plus operator)

The plus operator searches for all the emails that exactly match the typed word.

Example: +automate.io searches all emails containing the term “automate.io” but not containing the term “automate”.В

  1. ( ) (parenthesis)

This operator groups multiple search terms together.

Example: (Facebook Twitter Instagram) groups email results that contain these 3 terms.

  1. OR or <>

This operator searches for emails containing at least one of two terms or phrases that were typed.В

Example: [email protected] OR [email protected] searches for emails coming from John and Jane.В

You can even use multiple operators together to create much more specific filters.

How to edit or delete Gmail Filters?

If your filters are not set up correctly or if you no longer need a filter you created, here is how you can edit or delete Gmail filters.

Step 1: Go to Settings [Gear icon] and click on ‘Filters and Blocked Addresses’. Here you can see all the filters you have set up so far.

QUICK ANSWER

To filter your emails in Gmail, click the three jagged lines to the right of the Gmail search bar. When the advanced search box comes up, enter the details of the email you want to filter and click Create filter. Alternatively, open the email you want to filter and go to More—>Filter messages like these. This will also take you to the advanced search box with some pre-filled details.

Create a rule in Gmail to filter your emails

At the time of writing, you can only create Gmail filters on the desktop browser. Although filters work in the mobile app, you cannot create, maintain, or delete them there. For that, you need to use desktop Gmail.

With that caveat out of the way, let’s create a filter. There are three ways to start creating a filter.

Whichever one you choose will automatically redirect you to the advanced search box anyway. But these are a few ways to reach the same destination.

The advanced search criteria options

However you reach the box above, you now need to select which search criteria you will specify for that email. The more granular and exact you can get, the better the filter will work.

Most of them are pretty self-explanatory. However, here are two tips.

  • Try to enclose phrases inside speech marks. So for the Subject field, “Monthly spreadsheets” would be better than without the speech marks. This increases the chance of the correct email activating the filter.
  • Has the words and Doesn’t have includes words inside the body of the email, not just the Subject title. This is good for online stores that send out constant marketing emails with slightly different email addresses, making them difficult to mark as spam. Just put the company’s name in one of these fields, and the filter will scoop them all up. Looking at you, Amazon.

Once the search criteria have been specified, click Create filter.

Creating the filter

When you click Create filter, you’ll now be asked to specify what should happen to the email when one arrives that meets all of the specified criteria. Tick the boxes for all the ones you want — there’s no limit to how many you can choose. However, be careful that one option doesn’t conflict with another.

Please note that if you select Forward it to or Send template, you must make the forwarding address or template first. Otherwise, when you attempt to make them from this menu, you will be taken away to the appropriate Gmail section, and all your filter settings will be wiped.

This box also detects how many emails in your account already meet the specified criteria. This is shown at the bottom at Also apply filter to. You can then decide whether to apply the filter to those emails or only for future ones.

When you have chosen all of your options, click Create filter. Now go to Filters and Blocked Addresses, scroll down to the bottom of the filter list, and see if your new filter is there.

Can you import or export Gmail filter rules to another Gmail account?

Yes, you can. If you have a set of filters you want to transfer to another Gmail account, you can export them out of the first account and import them into the other.

  • Go to Filters and Blocked Addresses, scroll down to the bottom of the page, and click Select All. This will select every filter on the page.
  • Click Export to download a mailFilters.xml file to your computer.
  • Now go to your other Gmail account, go to Filters and Blocked Addresses, and click Import filters. Navigate to the XML file on your computer and upload it.

How do I search for filters in Gmail?

Gmail doesn’t offer a search function for filters. What you can do is go to the Filters page in Settings and use the CTRL+F keyboard combination (or CMD+F on macOS) to search the page for matches.

Can I use wildcards in Gmail filters?

A wildcard is when you don’t specify part of the email address (for example), leaving Gmail with a rather broad brush to scoop up all emails relating to that domain. For example, instead of [email protected], a wildcard would be *@amazon.com. So, in this case, the star indicates that you want all Amazon.com emails triggered by the filter, instead of only ones by [email protected].

However, bear in mind that wildcards can lead to too many emails falsely triggering the filter, as you’re not being specific enough.

Are Gmail filters case-sensitive?

No, Gmail filters are not case-sensitive. Whether they’re upper-case or lower-case makes no difference.

You can also create filters from any search you can perform. Filters automatically perform actions on incoming emails, such as deleting them, applying a label, or forwarding them to another email address.

Basic Search Features

Instead of just typing a search query in the search box, click the down arrow to reveal more search options.

You can skip this dialog for basic searches. Perform a search with the search options dialog and you’ll see the search operator you’ll need in the future. For example, if you type howtogeek.com into the search box, you’ll see the following search appear in the search box:

  • to: – Search for messages sent to a specific address.
  • from: – Search for messages sent from a specific address

  • label: – Search within a specific label.

  • in:anywhere – Also search for messages in the spam and trash. By default, Gmail’s search ignores messages in the spam and trash.

Constructing Searches

To put together more complicated searches, you’ll need to know the basics.

  • ( ) – Brackets allow you to group search terms. For example, searching for subject:(how geek) would only return messages with the words “how” and “geek” in their subject field. If you search for subject:how geek, you’d get messages with “how” in their subject and “geek” anywhere in the message.
  • OR – OR, which must be in capital letters, allows you to search for one term or another. For example, subject:(how OR geek) would return messages with the word “how” or the word “geek” in their titles. You can also combine other terms with the OR. For example, from:howtogeek.com OR has:attachment would search for messages that are either from howtogeek.com or have attachments.
  • “ “ – Quotes allow you to search for an exact phrase, just like in Google. Searching for “exact phrase” only returns messages that contain the exact phrase. You can combine this with other operators. For example, subject:”exact phrase” only returns messages that have “exact phrase” in their subject field.
  • – The hyphen, or minus sign, allows to search for messages that don’t contain a specific term. For example, search for -from:howtogeek.com and you’ll only see messages that aren’t from howtogeek.com.

Hidden Search Tricks

You can access many search operators from the search options dialog, but some are hidden. Here’s a list of the hidden ones:

  • list: – The list: operator allows you to search for messages on a mailing list. For example, list:[email protected] would return all messages on the [email protected] mailing list.
  • filename: – The filename: operator lets you search for a specific file attachment. For example, file:example.pdf would return emails with a file named example.pdf attached.
  • is:important, label:important – If you use Gmail’s priority inbox, you can use the is:important or label:important operators to search only important or unimportant emails.
  • has:yellow-star, has:red-star, has:green-check, etc. – If you use different types of stars (see the Stars section on Gmail’s general settings pane), you can search for messages with a specific type of star.

  • cc:, bcc: – The cc: and bcc: features let you search for messages where a specific address was carbon copied or blind carbon copied. For example, cc:[email protected] returns messages where [email protected] was carbon copied. You can’t use the bcc: operator to search for messages where you were blind carbon copied, only messages where you bcc’d other people.
  • deliveredto: – The deliveredto: operator looks for messages delivered to a specific address. For example, if you have multiple accounts in the same Gmail inbox, you can use this operator to find the messages sent to a specific address. Use deliveredto:[email protected] to find messages delivered to [email protected]

In case you’re not sure what filters do, basically it filters emails based on what you tell it to look out for and applies things like labels, automatically archive it, delete it, automatically forward it, and so on. The more precise your parameters are, the easier it will be for Gmail to filter the emails for you, but at the same time, using broader parameters can also make it easier to apply filters en masse.

For example, if there is a particular person you want to filter emails from, then it might be a good idea to type in the person’s full email address. If there’s emails from your electricity company, then maybe typing in the company’s name is good enough since companies might sometimes send you emails using different addresses.

How To Filter Unread Emails In Gmail

The steps above will help you filter emails from particular addresses or emails that contain specific keywords or phrases, but what if you want to filter emails that you have not read? Given that sometimes we can skip certain emails as we don’t think it’s particularly important (yet), our email list might contain a mix of read and unread emails.

  3. If you want to ignore unread promotional or social emails, type “category:primary is:unread
  4. Hit enter and you should see all unread emails

A while back, we showed you how to filter your Gmail emails by sender. In this article, we’ll show you how filtering emails work in general. We will show you the main way to do it, though there is a way you can filter it directly from the email you received. That is what we explained in the aforementioned tutorial, so visit that one if you’d like to know more. That being said, we’ll show you how to filter your emails in Gmail in this article, but do note that you’ll need to do it from your computer, not your phone.

These options are not available in the Android app. You can, alternatively, open up a browser of your choice, and fire up the desktop mode in order to do this, but it’s much easier to do via a computer, of course. That being said, we’ll show you the steps below, and will also include some screenshots, so that it’s easier for you to follow along.

The first thing you need to do is… open up Gmail in your browser, of course. Navigate to mail.google.com, and log in if you’re not already logged in. Once you do that, you’ll see something similar to what you see below, though quite possibly with a different theme, categories, and so on. Once you’re there, on the main page within the Gmail web client, click the gear icon in the top-right corner.

A pop-up menu will open, and you’ll see the “See all settings” option.

Once you click that, you’ll enter the main Settings of your Gmail web client. There you’ll see quite a few tabs with different sets of settings. The one we’re interested in is called “Filters and Blocked Addresses”, click it.

As you can see, I have quite a few filters set up here. If you don’t have any yet, this list will be empty.

You’ll likely need to scroll down here in order to locate the “Create a new filter” option, as shown below. If you don’t have any filters set up, that option may be visible without the need to scroll down, it depends. Regardless, click it.

A new pop-up menu will appear, allowing you to start filtering emails. You have a lot of options here. You can filter emails based on the sender, subject, words that are included, worlds that are not included, and so on. Choose your parameters, and click the “Create Filter” option on the right.

In the next menu, you’ll get options for what you want Gmail to do when an email is a match to your pre-set criteria. You can make Gmail delete such a message immediately, mark it as read, forward it, star it, and so on. Choose your parameters, and click “Create filter” in the bottom-right corner.

There you have it, you’ve created your first Gmail filter. As you can see, the possibilities are endless here, and you can really fine-tune your Gmail experience this way.

I get junk email all the time. Lately I’ve taken to creating filters in gmail based on the sender of the email. In this guide I will walk through a Google Apps Script function I wrote to repeat this repetitive email cleansing ritual.

With this script, instead of creating a filter for an email, I just label the email ‘filter’ (this could be any label you want). I set the script to run every ten minutes (here’s how) and scans my inbox for threads labeled ‘filter’.

It then creates a new filter based on the sender’s address of the email message. All future emails from the same sender will automatically skip my inbox, get marked as read and archived. The script then applies these same actions on the email labeled ‘filter’.

The hardest part of writing this script was understanding how to actually set up a filter with Google App Script. To do so requires using the Advanced Gmail Service.

All told this script saves me about 10 seconds of time per email filter I would have otherwise created manually, so probably a few minutes a month, a few hours a year. Time well spent.

How do I do a search for mail older than a certain date?

There is a long list of advanced search operators that you can use in Gmail. The list can be found here. One of the most powerful ones is to search for messages by date and here is how it is done:

The search box is at the top of your Gmail screen. Simply type one of the operators below and the date to define your search. Click the magnifying icon.

For example, if I wanted to get all mail older than 2010, I could type: before:2010/12/31

You can search a date range like the example below.

after:
before:
older:
newer:
Search for messages sent or received during a certain period of time
(using the date format yyyy/mm/dd)
Example: after:2004/04/16 or before:2004/04/18
Meaning: Messages sent between April 16, 2004 and April 18, 2004.*
*More precisely: Messages sent after 12:00 AM (or 00:00) April 16, 2004 and before April 18, 2004.
older_than
newer_than
Similar to older and newer, but allows relative dates using d, m, and y for day, month, and year Example: newer_than:2d
Meaning: Finds messages sent within the last two days.

If you come up with multiple pages of results and you wanted, for example, delete all of those messages (be careful: remember trash is permanently deleted after 30 days in Gmail) you could check off the “select all” box in the upper left. Once you do that, the selected messages on that page will turn yellow. Now my search is telling me that I have 44 pages worth of email that is older than 2010. I could go through each page and select all and delete, or to make thing easier, Gmail will pop up a message asking if you would like to Select all conversations that match this search . If you click on those words all messages in that date range and all pages of those email will all be selected at the same time. You could now hit the delete button.

Most people have their accounts on Gmail. Gmail is the most powerful and efficient, which provide you a very different and the useful tools, one of them is filters. Filters are basically used to do some type of actions on the sender email, such a deletion, mark as read, block the sender.

Filter Emails in Gmail

Sometimes your inbox is full of unread emails, filters will help you to keep unwanted emails out of your face, and prioritize important emails on the top. So, we are going to discuss how we can filter email in Gmail in steps:

These are the steps:

  1. Open Gmail: Open your Gmail in browser.
  2. Complete the sign in: Enter you email id and password. Complete the sign in process.
  3. Click on show search options: At the end of search bar you see the search show options icon, which is in triangular shape, click on that.
  4. Enter e-mail address of other: After clicking, a box will appear, in which the first word is (From) just enter the email-id of other person and click on create filter.
  5. Perform the action: After clicking, you see the number of options, choose according to your choice, and then click on create filter.

These are the steps to filter Emails in Gmail.

  1. Open the browser: Just open the browser, type www.gmail.com and press enter.
  2. Complete the sign in: Enter your email id and password. Click on sign in.
  3. Click on Settings icon: On the top-right corner, you see the settings icon, a drop-down menu is generated, you see the setting option there, click again on that option.
  4. Go through General settings: After clicking, you see the general settings option, just scroll down with your mouse, you could easily see the filters and blocked option in header menu.
  5. Click on Filters and Blocked address: Click on filters and blocked address option.
  6. Click on Create new filter: You see in the center, a create new filter option, which is blue in color, just click on it.
  7. Fill the details in box: After clicking, a box will generate, Just fill the email-id of person in the (From) section, and click on create filter.
  8. Create filter: After clicking, you see the number of actions, select from your choice and then click on create filter. Now, your filter has been created.

Whenever you filter the emails in Gmail, the filter is always active, will perform the action and the change can be noticed, when you receive the email from that email-id. The actions may move the email, if you select that option, mark that email as read, archive it, star it, mark it as an important.

So, there are numbers of actions that can be performed. This tool helps to create a space in your Gmail account and you could easily read the emails of your preferences.

Filters can be only added over the desktop, android phone does not support these features, so it’s better to open your Gmail in browser. Hope, this article will help you.

Email remains a popular tool for communication because it lets you quickly send your thoughts to anyone anywhere and at any time. If you don’t manage your inbox, however, email can easily become overwhelming. In this article I’ll walk you through Gmail’s filter features, which allow you to sort and automatically manage incoming mail. Here’s how to set them up.

Set the Filter Criteria

The first thing to do when creating a filter is to tell Gmail what kinds of messages you want it to look for. You can do this by setting search criteria for the filter.

  1. In the Gmail search box, click the expansion arrow for more-advanced search options. Start filtering your mail by determining your search criteria.
  2. Determine which types of mail you would like to manage with this filter, and fill in your criteria accordingly. For example, to find and manage mail pertaining to PCWorld, input pcworld in the ‘Has the words’ text box. You can create a filter based on the sender, recipient, subject, keywords, or date range, and on whether the mail contains an attachment. You can also use the asterisk wildcard character to match anything. For instance, you can use *@pcworld.com in your search terms to match any pcworld.com email address.
  3. Click the Create filter with this search link at the bottom of the search options.

Determine How to Handle the Messages

Once you have set the search criteria for the filter, you need to tell Gmail what to do with the messages. After applying your search criteria, Gmail will display any messages you’ve already received that match the search, along with filtering options. If Gmail found any existing mail that matches your search criteria, you know that your filter is set up correctly. If the filter is not finding the kinds of messages you want, click back to search options to readjust your filter criteria.

The filtering options window allows you to specify what to do with any future incoming messages that match your search criteria. For example, to flag new incoming messages from PCWorld as important and star them for reading later, check the Always mark it as important and Star it boxes. The actions you can apply to messages are: automatically archive (skip the inbox), mark as read, star, apply a label, forward, delete, never mark as spam, always mark as important, and never mark as important. You can also combine multiple actions, as in the example.

Optionally, you can retroactively apply your filter options to any existing matching messages by clicking the Also apply filter to x matching conversations box, where x is the number of messages that match the search criteria. After you have specified the actions, click Create filter to make the filter active. A confirmation will appear, and you will return to the inbox.

Now that the filter is active, Gmail will automatically handle any new messages that match your criteria, until you remove the filter.

Manage Filters

You can edit or delete any of your existing filters in Gmail’s settings.

Here you can edit or delete your existing filters.

  1. Click the gear icon in the top-right corner of the page, and then click Mail settings.
  2. In the settings page, click the Filters link to bring up a list of your current filters.
  3. On the filter you wish to manage, you can click edit to readjust the search criteria or actions, or delete to remove the filter and stop its actions from being applied to messages.

Gmail is one of the most powerful third-party email clients by far; even many Apple device users have Gmail accounts.

One of the useful things you can do right from Gmail is create rules via filters, and this lets you do all sorts of things with your email inbox for customizing your experience. We’ll show you how to do that in this tutorial.

Why to create a rule via filter in Gmail

Creating rules via filters allows certain things to happen in an automated fashion without you needing to babysit your email inbox all the time. For example, you can do all of the following things based on certain filter criteria:

  • Automatically archive messages
  • Automatically mark messages as read
  • Automatically star messages
  • Automatically apply labels to messages
  • Automatically forward messages
  • Automatically delete messages
  • Never send similar messages to the spam folder
  • Automatically categorize messages

As you can see, the list is quite extensive. One of my favorite reasons to use rules via filters in Gmail is to automatically delete messages from annoying people so I don’t have to later on.

How to do it

If any of the above functions look appealing to you, then you’re probably itching to know how to do it. Here are the steps:

1) Log into Gmail from your favorite web browser and open your inbox.

2) In the search bar, click on the drop-down arrow.

It’s typically good to filter by a specific email address, but you can also filter by any of the following:

  • Who an email is from
  • Who an email is to
  • The subject of a message
  • Contains a certain set of words
  • Doesn’t contain a certain set of words
  • Contains an attachment
  • Excluding chats
  • By certain storage size
  • Creation date

4) Once satisfied with what you’re filtering by, click on the blue Magnifying Glass button at the bottom left.

5) Now you will have to choose what happens to emails that meet your filter criteria. This is known as setting rules:

6) Make your rule selection based on what you want to do, then click on the blue Create Filter button at the bottom left.

Now any time you send or receive emails that meet your filter criteria, your rules will be applied to those email messages.

Even if you’re using Apple’s Mail app instead of the Gmail app or website on your device, your rules will be applied before they even hit your inbox in the Mail app, so this is an incredibly useful feature to know.

You can waste a lot of valuable work time sorting through and deleting junk mail. In Gmail, Google catches and reroutes the most egregious spam offenders, but can miss email that you consider annoying. Theoretically, you can “teach” Gmail to recognize spam by checking off an offending email and clicking the exclamation point icon to report spam. This is not always the most efficient method, however. To prevent that email, or even that type of email, from hitting your inbox, create a custom spam filter.

Step 1

Sign into Gmail and click the down arrow on the right side of the search box to show search options.

Step 2

Enter the criteria for the custom spam filter into the corresponding text boxes, based on the emails you want to weed out. For example, if the emails always contain certain unique words, enter those words into the “Has the words” text box. If they always come from a certain sender, enter that sender’s email address into the “From” text box.

Step 3

Click “Create filter with this search” at the bottom of the search options.

Step 4

Mark the “Apply the label” box and choose “New label” from the option list. Enter a name such as “Junk” or “Custom Spam.” Check off the “Nest label under” box, choose “[Imap]/Trash” from the drop-down list and click “Create.” Push “Create filter” to save your changes. This will route all the email meeting the criteria you set to a specific trash folder.

Step 5

Check the folder, which will appear when you press the down arrow of your “[Imap]/Trash” folder, every once in a while to see that the filter’s working properly. If necessary, adjust the criteria for the filter by clicking the gear icon, choosing “Settings,” clicking the “Filters” tab and pushing “Edit” next to the correct filter.

In the “From” section of the form, enter the email address of your manager.

The form will now show actions the filter can take; in this case, we select Apply the label and choose the label “Management.”

Voilà! You now have a red label named “Management” that is filtering emails from your boss.

If you find yourself forwarding messages to your other email account on a regular basis, why not automate this task? Using the handy filter feature in Gmail, you can automatically forward certain emails when they hit your inbox.

Different than forwarding an individual email in Gmail, creating a filter rule to do so requires you to connect that forwarding email address. Open the Filter Setup

You can open the filter setup in Gmail easily using one of three methods. Use whichever is simplest or most convenient for you.

Click the gear icon to access your Settings, and then click “See All Settings” in the sidebar. Select the Filters and Blocked Addresses tab and click “Create a New Filter.”

If you’ve just set up a forwarding address in the Forwarding and POP/IMAP tab, you can also find it by clicking “Creating a Filter.”

Yet another method is using the Search box at the top of Gmail. Click the arrow on the right side of the search box. This combines looking for an email with creating a filter.

Enter the Filter Criteria

You’ll see the most common fields where you can enter the criteria that you want Gmail to look for. These include From, To, Subject, Has the Words, Doesn’t Have the Words, and Size. You also have checkboxes for emails that contain attachments and whether or not you want to include chats.

Complete one or more fields to define the emails that you want to forward. Here are a couple of examples to get you started.

Maybe this Gmail account is for business, but you often receive personal emails. You can enter email addresses for friends and family members in the From field, or start typing and pick a suggestion. Then, forward the messages to your personal account.

Perhaps you’re planning an event and want to forward all emails pertaining to it to another email address. Enter the words that you want to include in the Has the Words or Doesn’t Have fields if they’ll likely appear in the body of the email. You can also use the Subject line field if you prefer.

Once you have the criteria entered that you want to use, click “Create Filter.”

Select the Filter Actions

Next, you’ll select the actions for the email based on the criteria that you just entered. Check the box for “Forward It To” and choose the forwarding email address in the drop-down list.

You can also select more actions if you like. For instance, maybe you want the email marked as read, sent to your archive, or deleted. Check the boxes for all the actions that you want to apply in addition to forwarding. When you finish, click “Create Filter.”

Note: Once you create the filter, it will forward only new emails delivered to your Gmail inbox. If you want emails that you’ve already received forwarded, you’ll have to do that yourself.

Edit the Filter or Stop Forwarding

You can edit or delete a filter that you create in Gmail anytime. Click the gear icon to access your Settings, and then click “See All Settings” in the sidebar. Select the Filters and Blocked Addresses tab to see a list of your current filters.

To make a change, click “Edit” to the right of the filter. Make your adjustments and click “Update Filter.”

To stop using a filter altogether, click “Delete” to the right of it. Then, confirm by clicking “OK.”

Filters are a great tool to process emails automatically on Gmail. You can create filters to apply labels to filters automatically, prevent that it ever lands in spam, or forward emails automatically.

To configure filters, you need to open the Gmail website in your browser of choice and sign in to your Google account first.

Once you have done that, you have three main options to add filters on Gmail. The first two options are available right on the frontpage while the third is listed on the settings page.

Before we explore how to create and manage filters, it may be useful to list a few use cases for them:

  1. Make sure important emails, work or family, never land in spam.
  2. Automatically archive emails that you have no use for.
  3. Forward specific emails to another account of yours or a business partner’s account.
  4. Filter all large emails automatically.
  5. Delete annoying emails automatically.
  6. Label emails automatically.

Lets take a look at all of them first before going through the options you have to create filters:

1. Search

Search for something on Gmail, an email address, subject or any text. Once the results are displayed click on the more button and select Create Filter from the context menu that opens up.

2. Individual Messages

Select any message on the Gmail website so that its contents are displayed in the lower half of the interface. There you need to click on the down arrow icon next to the reply button and select filter messages like this from the context menu.

3. Filter Settings

Click on the cogwheel icon in the upper right corner of the Gmail interface and select settings from the context menu. This opens the Settings page.

Click on Filters there at the top, and then on create a new filter on the page that opens up.

Step 2: Configuring the Filter

Once you have made a selection, the create filter menu opens up. This is the first page of the menu which you use to define what you want filtered.

The options are:

  1. From – Sender information. You can add email addresses here but also names.
  2. To – The recipient of the email.
  3. Subject – All or part of the subject.
  4. Has the words – This checks if the words you specify here are used in the email, for instance in its body.
  5. Doesn’t have – Words that should not be in that mail.
  6. Has attachment – Needs to have attachments if selected.
  7. Don’t include chats
  8. Size greater than – The size of the email needs to be greater or less than the specified size.

You can mix as many fields and options as you want for the filter. Once you have done so, step 3 follows.

Step 3: Define what you want done with matching emails

Now that you have configured which emails you want filtered automatically from that point on, you need to define the action or actions you want Gmail to run.

  1. Skip the inbox – This archives the email automatically and does not display it in the inbox at all.
  2. Mark as read.
  3. Star it.
  4. Apply a label.
  5. Forward it to another email address.
  6. Delete it.
  7. Never send it to spam to make sure it is always considered legitimate.
  8. Always mark as important.
  9. Never mark as important.
  10. Categorize it.

Click on create filter to add it to Gmail. It is immediately active once you have done that.

Manage existing filters

You can manage all existing filters in the settings. There you can edit filters that you have created previously or delete filters right away if you have no need for them anymore.

Matching criteria

You can filter messages by properties such as the sender, subject date, size, and message contents. Any query using Gmail’s advanced search syntax can also be used in a filter. For example, common filter patterns include:

If multiple criteria are present in a filter, a message must satisfy all criteria for the filter to apply.

Actions

You can apply an action to messages matching the filter criteria. Messages may be forwarded to a verified email address, or have labels added or removed.

You can add or remove labels to change the disposition of the email. For example, some common actions include:

Tired of seeing spam emails? Gmail has a default feature that you can use to get rid of them. This post will show you how.

Gmail basically already has a filtering feature that automatically detects spam emails. Emails detected as spams will be automatically sent to the Spam folder. But still, the filtering criteria doesn’t always work for everyone since every user has different criteria about spam emails. For instance, those who hate Kpop might have an allergy with the word “Kpop” so they want to clean up their inbox from this word.

The filtering feature of Gmail allows you to filter emails by a certain keyword. Not only you can use the filtering feature to find emails. You can also use it to automatically delete every incoming email that contains the defined keyword. To do so, click the arrow icon on the search bar.

Type the keyword you want to filter on the Subject field. If the keyword you want to filter consists of two words or more, use the quote sign.

Once you are done adding the keyword, click the Create filter button.

On the next step, set an action for every email that matches the keyword. If you want to delete it, for instance, tick the Delete it option. This option will automatically delete every incoming email that contains the defined keyword. Click the Create filter button to apply.

If you change your mind or mistakenly filter a keyword, you can edit the filter you have created. To do so, click the gear icon and select Settings.

Add a new keyword or remove the existing ones. Once done, click the Continue button.

On the next step, you can add a new action or remove an existing one. Once done setting the actions, click the Update filter button.

Rules are basically the filters that you can apply on your Gmail. These filters help you keep the emails and everything in your account in place. Here is how you can make a filter for your Gmail account.

    Let’s say I want to create a filter for all the emails I send to myself. So I will:

      Go to the Search Email bar on my Gmail account and click the arrow button.
      Instead of adding the email addresses of the recipients, you can add the other details like Subject or has the words to finally create a filter for all the emails and not just for a specific email address.

If you want to apply the filter retroactively, check “Also apply the filter to x matching messages.” This will instantly clean up, organize, or mark your old emails, so they are consistent with the new filtering rule.

    You can also apply labels and decide which messages you would like to mark as important, which can really help keep the important messages near the top of your Gmail inbox.     And that’s how filters work. Now that your filter has been created, all new incoming messages will be dispersed in whatever way you choose. My advice is to go create a few test filters and play around with the feature. Don’t worry about messing up your inbox.     Your Gmail Inbox is overflowing with email messages. Some are newsletters that you are subscribed to, some are messages from friends and colleagues that you would like to read as soon as they arrive while the rest could be spam that managed to trick the built-in Gmail filters.

    Focus on the Most Important Emails First!

    When you only have a limited amount of time to process that long queue of unread messages, it is important that you prioritize your emails and defer reading stuff that is not very important and can wait (like those newsletters).

    Here are two simple Gmail filters that will automatically move out all the low-priority emails out of your Inbox so that you can focus on the important ones. They should also come handy when you are checking emails on the go – the high-priority items will be delivered to your mobile device while everything else will stay in your Gmail account for you to follow up later.

    1 . Filter out emails that are not addressed to you

    If your name is not in the TO: or CC: field of an email message, chances are that you may not have to worry too much about responding to that message.

    The following filter will automatically move messages out of your Inbox to another folder that are of less-priority as they are not addressed to your directly.

    If you have more than one active email address, you can either add them all to the above filter separated by the OR operator or setup another similar filter per address.

    2 . Move Bulk Emails to another folder

    Bulk email messages are likely to contain words like “click here” or “unsubscribe” even if those hyperlinks are just a tactic of the spammer to confirm your email address. In either case, the existence of such words in the message can help us easily filter out bulk emails:

    • Has the words: unsubscribe OR “click here”
    • Skip the Inbox (Archive It)
    • Apply the label: Bulk Mail

    Not everything under the “bulk mail” folder will be spam as it will also match email newsletters that you are subscribed to. That said, email newsletters never require immediate attention so they safely reside in a folder other than your inbox. Here are some more ideas around Gmail filters:

    Gmail’s filled with hidden features and add-on possibilities, but one of the service’s most powerful organizational tools is sitting right in the heart of its regular settings.

    As you may have guessed by now (especially if you read this story’s headline, you clever little cat), I’m talking about filters — Gmail’s long-standing system for automating your inbox with a series of custom-crafted rules. At a glance, filters can seem complicated. They can seem overwhelming. They can even seem unnecessary.

    But don’t let yourself be fooled by the feature’s curiously crusty exterior. Gmail filters have the potential to completely reshape your inbox and the way your incoming messages are handled. They can help you keep your email in order with no ongoing thought or effort. And all it takes is a little one-time planning to get them working for you.

    Follow the filter-centric Gmail tips in this guide, and your inbox will be running like a well-oiled (but not too greasy) machine in no time.

    Part 1: Figuring out your Gmail filters

    Let’s start by thinking through some Gmail filter possibilities to get an idea for the sorts of setups you might want to consider — then, we’ll go step by step through the process of creating them.

    With Gmail filters, you could:

    All right, so that last one isn’t really possible (not yet, anyway) — just wanted to make sure you were still paying attention. Everything else in that list, however, is absolutely doable and actually quite easy to set up with Gmail filters.

    Part 2: Creating your Gmail filters

    The simplest way to start a new Gmail filter is to click the control panel icon — the symbol showing three horizontal lines stacked on top of each other — within the big search box at the top of the Gmail website.

    That’ll pull up a form where you can fill in whatever you want to use as the basis for your filtering — a word or phase that might appear within an email’s subject or body, an address from which a message could originate, or any other variable or combination of variables you like.

    Fill in the fields as appropriate, using however many variables you want — even employing quotation marks around multiword terms along with operators like “AND” and “OR” between terms, if you really want to get fancy — and then click “Create filter” at the bottom of the box.

    One quick warning: By default, your filter will apply to any and all incoming messages — hence the “All Mail” setting that shows up next to the “Search” option in the filter creation pop-up. If you change that option to “Inbox,” you’re likely to see an error message informing you that the parameters you chose are not recommended and may not work properly. Leave that “Search” option set to “All Mail” — which is probably what you want, anyway — and you’ll steer clear of any errors and allow things to work the way they should.

    Now it’s time for the fun part — the part where you decide exactly what happens when a message meeting your conditions arrives. You can select any combination of actions from the list and then configure them as needed. You can even tell Gmail to apply your filter retroactively to messages already in your account (as opposed to using it only for new messages that arrive from that point forward) by checking the “Also apply filter to matching conversations” option at the bottom of the box.

    Once you’ve got that finished, click the blue “Create filter” button — and that’s it: Your new Gmail filter is officially in place and active. The next time any message comes in that meets the parameters you outlined, the actions you specified will automatically take place faster than you can say “I embrace Workspace in my workplace cyberspace.”

    Part 3: Managing your Gmail filters

    Last but not least, make yourself a mental note in case you ever need to adjust your filters in the future: If you want to edit, delete, or even just revisit a filter you created, just click the gear-shaped icon in the upper-right corner of the Gmail website, click “Settings,” then click the “Filters and Blocked Addresses” tab at the top of the settings screen. You’ll see every filter you’ve ever created there and can tweak or remove any of ’em with a couple quick clicks.

In this article, I will be explaining to you how to use the “And”, “Or”, “Not” condition in Gmail Filter.

    These (AND, OR, NOT) conditions/operations are logical operators. Conditions are statements that help the user to make decision-based on multiple expressions.

    Let’s discuss them one by one.

    How to Use OR Condition Filter in Gmail?

    OR means at least one of the conditions is true.

    In Gmail, we can use three symbols representing Or Condition and they are:

    How to use “Not” Condition in Gmail Filter?

    NOT conditions make true statement to false statement and false statement to true statement.

    For the ‘not’ condition you can simply use the ‘-‘ symbol.

    Example 1: Filter for finding those mail except send to “[email protected]” look as below:

    Example 2: Suppose you want to forward all messages send to the account except say [email protected] and [email protected] then your Gmail filters look like this.

    How to use “AND” Condition in Gmail Filter?

    AND means every condition is true.

    • Evaluation of query from left to right.
    • Scanning from left, if found false then immediately stops

    We are using AND condition knowingly and unknowingly. Let’s look at the example of popularly used AND Condition in Gmail Filter.

    1) Find unread mails from inbox

    2) Find emails only send to me

    Here, we are requesting mail sends to me and not for any bcc and cc recipients.

    We can take the help of AND and OR Condition operator like below:

    This query will include all mail that has MyLabel1 label and exclude mail having inbox label and MyOldBadLabel1.

    Gmail filters can be used for many different useful things. From sorting emails, to creating a whitelist. One thing you should know, before creating tons of duplicate filters for different senders, is that you can apply the same filter to many different senders.

    How to filter different senders at once

    Say for example you want to filter your work related email, and attach a label to each work related message you receive. The problem is, you may be receiving work email from an endless number of people. Would you really create a separate, but identical, filter for each sender you receive email from in your Gmail account? Let’s hope not! You certainly do not have to.

    Setting up a filter is easy:

    • First, go to your Gmail Settings.
    • Click on “Filters”.
    • Click “Create a new Filter”.
    • Now we’re ready to create a filter:
    • Start with a parenthesis “(“, start with the first email address you want to filter from.
    • Add an “OR” after the first email address, and add the second. Repeat this until you are done.
    • Close with another parenthesis “)”:
    • Set any other parameters that apply to your filter
    • Click on “Next Step”
    • Select “Apply the Label”, and select your label of choice:
    • Or click on “New Label” to create a new label
    • Add a new label name:
    • Click OK.
    • Click on “Create Filter”
    • And you’re done!

    Keep in mind that you need to add “OR” between the different email addresses for the filter to be applied whenever you receive a message from ANY of the senders. If you do not add in “OR”, and for instance only separate the email addresses with a comma, then your filter will not work.

    Gmail filters help you automatically sort email messages based on rules. So if your boss has sent an email message, the filter can mark it as important. If the email has the word “Unsubscribe” somewhere in the message body, it can be marked as a promotional message and so on.

    How to Create Advanced Gmail Filters

    While the built-in Gmail filters are powerful, they do have certain limitations.

    For instance, you cannot have a Gmail filter that does case-sensitive search. It will treat WHO and who as same. Gmail filters won’t do pattern matching (regular expressions) so you cannot have a filter for messages that contain phone numbers.

    We often get spam messages that have a few dozen addresses in the TO and CC fields but there’s no filter to automatically redirect such messages to the SPAM folder of Gmail. That’s where Google Scripts can help. You can setup advanced filters that aren’t available in the native version of Gmail.

    What you see above is a set of 10 Gmail filters that were created with Apps Script. You can have a filter to process messages that contain tons of links. Or messages that have too many attachments. Or messages that have just a word or two in the message body.

    The best part is that you don’t have to know scripting to use either of these filters. Just follow these 3 easy steps:

    1. Click here to copy the Gmail Filters sheet into your Google Drive. You can write OFF to deactivate any of the available rules.
    2. Go to the Gmail Filters menu in the sheet, choose Initialize and grant the necessary permissions to the script.
    3. Now choose Turn-on Gmail Filter to activate your filters. You may close the Google sheet now.

    Here’s what happens behind the scenes. The script will run in the background every 10 minutes and monitor any new unread messages in your Gmail inbox. It will then run the various rules against these messages. The native filters in Gmail take precedence and then your custom rules specified in the sheet are applied.

In this post, After receiving requests from some of my readers, I have given some instructions on how to setup email filters in Yahoo, Gmail and Microsoft Outlook.

    Follow these instructions to setup an email filter for Yahoo mail that will automatically move any email that has the keyword [spam] in the subject field to the “Trash” folder.

      1. Login to your Yahoo mail account.
      2. Go to the “Options” page. The Options menu is located on the top right hand corner.
    1. Go to the “Filters” page from the Management column.
    2. Click on the “Add” button. This will bring up the ‘Add Message Filter’ page.
    3. Give a name for this filter in the “Filter Name” field. E.g. Spam_Filter1.
    4. Put the keyword [spam] in the “Subject” field.
    5. Select the “Trash” folder from the drop down menu for the “Move the message to” field.
    6. Click the “Add Filter” button to add this filter and you are done. Now any email that has the word [spam] in the subject field will be automatically moved to the Trash folder upon receiving!

    The following set of instructions will setup an email filter for Gmail that will automatically delete any email that has the keyword [spam] in it.

      1. Login to your Gmail account.
      2. Go to the “Settings” page. The Settings menu is located on the top right hand corner.

    2. Click on the “Create a new filter” link. This will bring up the ‘Create a Filter’ page.
    3. Put the keyword [spam] in the “Has the words” field and Click the “Next” button.
    4. Tick the “Delete it” tick box on this page and hit “Create Filter” and you are done. Now any email that has the word [spam] in the subject field will be automatically deleted when received!

    1. Go to the “Tools” menu and select “Rules and Alerts”.
    2. Click the “New Rule” button from the E-mail Rules tab.
    3. Select the “Start from a blank rule” radio button and hit “Next”.
    4. Tick the “with specific words in the subject” tick box.
    5. Click on the “specific words” link from the “Edit the rule description” section.
    6. Type in the keyword [spam] in the Specify words text box, click the “Add” button and then click “OK”.
    7. Hit the “Next” button.
    8. Tick the “delete it” checkbox and hit “Finished”.
    9. Apply the changes and you are done. Now any email that has the word [spam] in the subject field will be automatically deleted when received!

    @Betty, Did you go to “Settings” and then looked for the “Filters and Blocked Addresses” tab? I am pretty sure all gmail accounts have that option.
